How do I set up a campaign?

Create campaign

Click Delivery > Drafts in the main menu. With the button on the bottom right you can create a new campaign.

After naming the campaign you select the client. Usually the client is your own company. Agencies often deliver mails for other companies and have the possibility to select between different clients. If you want to create a new client, click on the account symbol and then go to Companies & Clients.

Choose campaign type

Now you have to choose the campaign type.

Default Campaign Delivery of one or more messages via promio.connect.com.
Tracking Campaign If a message is sent via an external sender, it can be created here first. The external sender then receives the message with our measuring links from you and you can follow the results of your campaign in the reporting in promio.connect. For details, read article „How to set up a tracking campaign?“.
A/B-Test Campaign In an A/B test different designs or subject lines can be tested against each other in a pre-delivery. The main delivery of the winning message begins automatically after a predefined period. For details, read article „How does split testing work?“.
Auto Campaign Regular and automatic delivery of messages, e.g. for birthday or welcome mailings. For details, see article “How do I create an auto campaign?„.
Transaction Campaign Delivery of a message to one recipient, that already exists in the database triggerd by the action of the user, e.g. an order confirmation or a mail for changing a password.
Network Tracking Campaign Central controlling of a campaign which is sent out by several partners. Also see the article “How do I create a new network tracking campaign?„.

Note: Network tracking campaign is a fee-based feature (specially developed for marketers) - this campaign type is not available by default.

After confirmation of type, client and description via clicking OK, you reach the campaign settings:

Campaign actions

After you have confirmed the type and a label with OK, you will arrive at a detailed view of the campaign. You will now find your campaign under Drafts. In this list you can execute to following actions:


Campaign Details

Settings

Client, description and campaign code of the campaign can be set in the tab General. There is also the option of assigning the campaign to an existing newsletter. The campaign code is an internal help for you to evaluate campaigns.

Actions

On the right side beneath Actions you can approve and send campaigns.

Approve campaign

Depending on the setting, the campaign has to be approved by at least one user of the promio.connect. The approval is documented and traceable after delivery.

Send campaign

By using the button on the bottom right you can create a new message. To set up a working campaign you have to create at least one message.

Temporary Reporting

Below your list of messages within a campaign there is a temporary reporting for standard, tracking and network campaigns After performing a test delivery you can check your clicks, opens and conversions of this test here.

Conversions are only tracked if a the corresponding measuring pixel is built in!

History

Below the Temporary Reporting you will find the History in which you can see when and by whom a campaign was created or from which campaign it was copied.

Create message

You can create a new message using the button at the bottom right. To set up a campaign, please create at least one message by selecting a master template and then a creative template.

Templates

When creating a message, you can choose from different templates and drafts. In general there are these different types:

HTML/Text: Multipart Mail

A HTML/Text Multipart draft consists of an HTML and a text field. Complete HTML-dode can therefore be added as well as the corresponding text part.

An HTML e-mail should always have an alternative text version! Some mail clients only show the text, or the reader blocks HTML. In this case you should be able to communicate to your reader in a text version.

Individual explanations of your own templates can be stored in a client-specific wiki. The client needs a license for this. If you are interested, please contact our support.

Message Details

Settings

At this point you have to define the settings for your email.

Name

An internal naming for the message.

From addresses

Select one of your defined sender addresses. The sender may be adjusted under Settings > From addresses.

Real name

Here you can change the individual sender name (real name) for this message.

Subject

Enter the subject line for the delivery here. By clicking on the button you also have the option of receiving suggestions for rephrasing your subject line by AI.

Edit message

Underneath the Settings you can design your message. Click on the button with the pen which says Edit message.

This area consists of the following tabs, which may vary depending on the type of message.

Imprint

Please make sure that your creative includes an imprint.

The imprint has to be part of every e-mail. I contains of an unsubscribe link, the company's name and its legal status, the complete postal address and contact options. Information from the Certified Senders Alliance (CSA).

Beneath the message preview there is the option of adding an attachment to your e-mail. You should only do this in exceptional cases, though. We recommend to make PDFs and other attachments available via download in the internet, and then put the link into your message. You will find instructions in How do I send an attachment?.

Actions

Testmailing

Before each delivery, you should perform a test delivery. The list of addressees can be changed under Settings > Test Delivery List.

Assign target group

Select a target group, and filters or excluding filters if desired. Calculate the filter result and set a limit in number if you want to.

Quality Control

Every message is checked before sending automatically. Links, images etc. are checked here.

Change URL replacement

As long as there are no other preferences defined, all links within a mailing are automatically replaced with measuring links. On some pages (e.g. unsubscribe), additional parameters are attached for identification purposes. You can customize these preferences here as needed. After manually adjusting the URL replacement, the creative must be saved again for the change to be applied.

Incorrect settings may affect the functionality of some links. If you have any questions, contact your promio.net contact person.

On the top right you find three symbols which allow you to conduct further actions:

Copy message

The two sheets behind each other let you copy the message.

Delete message

With the trash can you delete a mailing.

Save as template

Save the created message as a template for future delivery. You can then find the templates under Content > Templates.

Convert to HTML/multipart

Messages that were created using a template can be converted to the base template (pure HTML code). The source code can then be edited directly. :!: It is not possible to undo this step.

Language

Defines the language selection of the unsubscribe page.

Assign coupon code list

Assign coupon code list that you previously uploaded via Content → Coupon code lists.

Check campaign

After setting up your campaign you should start a test delivery in every case and after this check your e-mail inbox. Furthermore you can perform a quality check to if e.g. all links are available, pictures are shown correctly or other mistakes occurred while creating.

Approve campaign

As soon as your campaign is tested you can give your approval. Depending on the settings of the client more than one person has to set their approval checkmark.

Send campaign

Now the campaign can be sent out. Set a delivery date or choose to send now.

Check all the messages of your campaign. To do so you have to use the quality check by clicking on a message’s name in the list. Check and correct the upcoming errors or warnings. In order to deliver a campaign you need to do the quality check for every message. If there is an error, you can’t confirm quality control and therefore there is no delivery.

The show example belongs to the type standard campaign.

Delivery Start

Here you can review your time of delivery. Click Cancel to go back and change the time.

Recipients

This shows you the number of recipients. You can check if it matches the size of your target group. When you tick the box Refresh target group for delivery start it gets updated.

Measured data

This data tells you how many opens, clicks, and conversions were already done during testing. When you choose the option Reset values this testingdata is not included into your reporting.

Limit delivery speed

The delivery process automatically adjusts the delivery speed according to ISPs capacity. You can set an individual limit to control the traffic on landing pages.

Additional copy at start of delivery

This option will send a mailing copy to the client's test mailing list at start ofdelivery.

When you have sent your campaign, it is not listed under Drafts anymore. It is now to be found in the Reporting area.

View sent campaign

As soon as the delivery actually began you will see the results in Reporting → Campaigns. In Delivery → Queue there is a list of all campaigns which are either still waiting in line or currently In Delivery. It also tells you how many messages were already sent.
